Privacy Policy - Cover Me
Cover Me is a shift-cover and rota coordination app. It is built with a simple principle: collect only what is needed for the app to work, and nothing more.
1. What data we collect
The app itself does not track you around your device, and it does not include any third-party analytics or advertising SDKs.
The server for your organisation stores only the information required to operate the rota, cover, and communication features, for example:
- Your display name and username
- Your email address (for login and account recovery)
- Your team and department information
- Your time-off requests and availability
- Which shifts you have offered to cover or are covering
- For on-call engineers: an on-call contact number, if your company chooses to store one
- Chat messages you send within the app
Chat messages are stored so they can be delivered to other authorised users in your organisation and shown within the relevant chat channels.
2. Push notifications
Cover Me uses push notifications to let you know about things like shift cover requests, approvals, changes to your rota, new chat messages or mentions, or other relevant updates.
To send notifications, the app registers a device token with a push notification service (such as Firebase Cloud Messaging). This token is a random identifier for your device and is only used to deliver app notifications. It is not used for advertising or tracking between apps.
3. What we do not collect
Cover Me does not collect:
- Location data
- Contact lists
- Photos, files or media from your device
- Advertising IDs for profiling or marketing
- Background usage statistics about what else you do on your phone
Error logs may be generated by the server or app if something fails. These are used only for diagnosing and fixing problems and are not used to build any kind of behavioural profile.
4. How your data is used
Your data is used solely for:
- Showing the rota and who is on or off
- Managing holiday / time-off requests
- Letting other team members offer or accept cover for a shift
- Sending notifications about relevant rota events
- Allowing communication between users through in-app chat
Chat messages are only visible to users who are permitted to access the relevant chat channel (for example, members of a department or server-wide channel).
Data is only visible to people inside your organisation's Cover Me "server" (for example, your site or company). It is not sold or shared with external third parties for marketing.
5. Security
Passwords are stored using secure hashing on the server and are never stored in plain text. All data, including chat messages, is transmitted over encrypted connections (HTTPS).
Access to the admin tools and moderation actions (such as managing users or removing chat messages) is restricted to authorised admins for your organisation.
6. Your choices
You can choose not to receive push notifications by changing the notification settings for Cover Me on your device. Some features may be less useful without notifications, but the app itself will continue to function.
Chat messages can be deleted by the sender (where supported) or by authorised administrators in accordance with your organisation's policies.
If you leave your organisation or no longer need an account, you can ask your local administrator to disable or delete your profile on the Cover Me server.
